Managing assets

What's the difference between a gallery and a catalog?
A catalog is the main database used to store your assets. In typical installations there is only one or two catalogs in use. Each catalog is typically for a very tightly defined group or purpose. For example, in a creative agency, the photography department might have their own catalog, while the design team has another, completely separate catalog to catalog all of their InDesign files.

Galleries are a selected subset of items within a catalog. Items in a gallery simply reference the item in the catalog and in no way duplicates the asset in the catalog. Depending upon the type of user access to your catalog (level-based or user-based) galleries can be visible to all users of a catalog (level based access), or restricted to a single user who can share them if desired (user based access).

Portfolio NetPublish

Can users who access files through NetPublish also add new files?
NetPublish delivers assets, images and other files to web users for download. Currently, there is not a web upload feature for Portfolio NetPublish.

Cataloging assets

Does Portfolio catalog and thumbnail the Coreldraw file format?
Portfolio will catalog most any file type—including Coreldraw. Thumbnails for some file formats (like Coreldraw) will not appear, but instead will be replaced with a standardized thumbnail. We are always updating our file format support, and the list of formats with thumbnail support is continually growing.

Managing user access

Is it possible to set permissions for certain assets and certain users?
Catalog administrators can setup access permissions that control how users can modify assets. All users who have access to a catalog are able to view all assets in the catalog, but some may be able to edit metadata, while others may only e able to view it. To restrict users from even viewing assets, we recommend creating an entirely separate catalog and only add users who have permission to view the assets.
 
Does each administrator need a license for the Portfolio Client?
Each user who wants to connect to a catalog using the Portfolio Client will need a unique client license. Since many administrative functions are performed using the Portfolio Client, it is likely that you will need your administrators to have their own client license. Check with your Corporate Sales representative for help in selecting the number of client license to purchase.
